“Template AI” usually means one of two things: using an AI tool to generate a ready-made template (a slide deck, flyer, report or tracker) from a short prompt, or using AI to fill in a template you already have. The most practical options right now are built into tools you probably already use: Canva’s Magic Design, Microsoft 365 Copilot, Gemini in Google Docs and Notion AI.

This guide covers how each one works, where to find it, what it costs, and where it falls short. Menus and plan rules change often, so treat the details below as accurate as of October 2026.

Which tool fits the job

Each tool suits a different kind of template. Here’s a quick comparison based on the official documentation:

Canva Magic Design: visual templates from a prompt

Canva’s Help Centre describes Magic Design as a tool that looks at your text, images or idea and suggests layouts for presentations, social posts, videos or documents. You get an editable design, not a flat image.

How to generate a design

  1. From the Canva homepage, select Canva AI.
  2. In the prompt box, type a short description of what you want, for example “a weekly newsletter header for a bakery, warm colors”.
  3. Optionally, select the + icon to add context such as uploaded files, content from your designs, your brand assets or connected apps.
  4. Press Enter or select Submit. Canva AI creates the design in the homepage editor.
  5. Select Edit design to keep working in the full editor.

If you’re already inside a design, open the Templates side panel and enter four or more keywords describing what you need. Canva will suggest matching layouts.

What to know

  • Magic Design arranges and styles content, but it doesn’t generate video itself. Video comes from Canva’s separate Magic Media or Canva AI Video tools.
  • On Canva Teams, Business, Enterprise and Education accounts, owners and admins can restrict access to AI features by role. If you can’t find Magic Design at work, that may be the reason.
  • Some help pages describe slightly different menu names depending on region and version. If the steps above don’t match your screen, check your local Help Centre page.

Microsoft 365 Copilot: Office templates and AI drafts

Microsoft offers two separate routes, and it’s easy to mix them up.

Option 1: Pick a template in the Microsoft 365 Copilot app

According to Microsoft Support:

  1. Open the Microsoft 365 Copilot app and select Create in the left navigation pane.
  2. Select More if needed, then All templates.
  3. Choose a template. It opens in the matching app (Word, PowerPoint or Excel) in your browser, ready for your content.

The Create section also offers Create a document, Create a presentation and Create a workbook options. This route gives you Microsoft’s existing templates rather than something new written by AI.

Option 2: Draft with Copilot in Word

For an AI-written starting point, open a blank Word document and use the Copilot drafting box to describe what you need. Microsoft’s Word guide says you can use Reference a file to point Copilot at up to three Word or PowerPoint files to base the draft on. You can only reference files you have permission to open in your organization’s SharePoint or OneDrive.

To turn a good draft into a reusable template, save it with File > Save As and choose the Word Template format.

What to know

You need an eligible Microsoft 365 subscription. Microsoft notes that on Personal, Family and Premium plans some Copilot capabilities may have usage limits that can change over time. Some third-party reviewers report that Copilot’s own template output is inconsistent, so expect to tidy up formatting.

Gemini in Google Docs: “Help me create”

Google introduced Help me create to build a full first draft of a document from one prompt. Adding context such as your audience, purpose or goals helps it shape the output into something template-like, for example a daily catch-up meeting template or a product roadmap.

How to use it

  1. Open a new, blank Google Doc on desktop.
  2. Select Help me create at the top of the document, or go to File > New > Help me create.
  3. Describe the document you want. Type @ followed by a file name to pull content from a Drive file into the prompt.
  4. Review the draft and edit it like any other doc.

Limits

At launch, the feature was desktop-only, English-only, worked only in a blank document and couldn’t use web search results. Referencing a Drive file with @ brings in that file’s content, but not its structure or style.

That last gap is what Google’s newer Match doc format addresses. In an April 2026 update, Google said Gemini can use an existing document’s fonts, colors, headings and table layout as a template for new content. The same post introduced Match writing style for consistent tone. Google listed availability for Business Standard and Plus, Enterprise Standard and Plus, Education Plus, and Google AI Pro and Ultra users, launching in English first. The post mentions promotional higher usage limits for Workspace customers for a limited period, but copies of the announcement give different end dates, so check Google’s Help Center for current limits.

Notion AI: databases and trackers

Notion is where many people go for planners, CRMs and content calendars. Its AI help is focused on databases rather than page design.

Build a database with AI

Notion’s help center describes a Build with AI option when creating a database. You describe what you want, Notion shows a preview, and you can add or remove properties before finishing. Notion says this is free on Business and Enterprise plans and uses workspace credits on other plans.

There are clear limits. Notion AI can create new databases, but it can’t edit existing ones or create their pages, automations, forms, charts or database page templates. You’ll still set up repeating page templates by hand.

Autofill your template

Once a tracker exists, AI Autofill can fill in properties for you. Basic Autofill handles simple jobs like summaries and tags. Custom Agent Autofill handles multi-step work and can search the web or your workspace. Plan limits for each tier vary, so check yours before relying on it.

Notion also has a community template gallery with AI-related templates. These are built by creators, not by Notion AI, so quality varies.

Tips for better AI templates

  • Describe the reader and the purpose. “A one-page project brief for executives, with sections for goal, budget and risks” works far better than “project template”.
  • Start from your own material. Canva’s + context, Copilot’s Reference a file and Gemini’s @ mentions all produce more relevant results than a bare prompt.
  • Save the winner as a real template. AI drafts are one-offs. Save the version you like as a Word template, a Canva template or a Notion template so the whole team reuses the same structure.
  • Check before you publish. Review generated text for accuracy and generated visuals for copyrighted or trademarked elements. Every one of these tools frames its output as a first draft.
  • Watch the limits. Usage caps and plan rules for AI features have changed several times in the past year and are likely to keep changing.

Bottom line

For visual templates, Canva’s Magic Design is the quickest and most accessible option. If your work lives in Office or Google Workspace, Copilot and Gemini can draft documents inside the apps you already use, and Gemini’s Match doc format is currently the closest thing to an AI that respects your existing template. For trackers and databases, Notion AI can build the structure, but you’ll still finish the templates yourself.

Frequently asked questions

Is there a free AI template tool? +

Canva markets Magic Design as a free tool, though some Magic Studio features need a paid Pro or Teams plan. Microsoft, Google and Notion tie their AI template features to eligible paid plans or usage credits, so check your plan before relying on them.

Can AI copy the layout of a template I already use? +

Partly. Google's Match doc format, announced in April 2026, lets Gemini reuse an existing document's fonts, colors, headings and table layout. In Word, Copilot can reference up to three files when drafting, and you can then save the result as a Word template yourself.

Can I use AI-generated templates commercially? +

Usually yes, but check each tool's terms and review the output for copyrighted or trademarked material before you publish it. Treat anything the AI produces as a first draft that you are responsible for.

Can Notion AI create a page template for me? +

Not directly as of October 2026. Notion's help center says Notion AI can build a new database from a prompt, but it cannot create database page templates, so you still set those up by hand.
